About the role
Child, Adolescent and Family Community Services (CAF) Access Team is the outpatient service providing the single point of entry function, emergency psychiatric assessment and short-term therapeutic intervention for children and adolescents 0-17 years in their family context.
This is a busy and demanding role, being the initial point of contact for patients arriving at the CAF Access Team and ensuring patient management systems are accurately updated and processes carried out in a timely manner.
This role is a permanent, part time position 0.6FTE, which requires you to work Monday, Tuesday and Wednesday from 8:30 am - 5:00pm, with a total of 24 hours per week.
As part of the Administration and Clerical Pay Equity Claim settlement this role has been mapped to National Band 4 /Profile 4

In this role, you will be responsible for:
- Administration of the patient management system
- Prioritising competing admin tasks for efficient patient flow
- Processing patient information and records
- Showing respect and maintaining confidentiality of information
- Providing great customer service to patients, staff and whānau
- Transcription (minutes, audio notes)
- Stationary stock management
- Compile reports
- Diary management
- Support the Department in other admin ad hoc tasks
About you
Skills and experience
- Organisation, time management and problem-solving skills
- Excellent customer service and telephone manner
- Transcription skills (50 - 70WPM)
- Computer skills including knowledge of MS Office (Word, Outlook and Excel)
- Ability to work under pressure to meet required deadlines
- Excellent relationship building skills with patients and colleagues
- Maintaining confidentiality and privacy
- Knowledge of medical terminology would be beneficial
- Experience using a Patient Management System (desirable)
- Attention to detail and accuracy
