We are looking for a Board Secretary on a temporary basis who is not just detail-oriented, but also deeply committed to precision and efficiency. In this essential role, you will become a key pillar of the governance structure, tasked with the crucial responsibility of ensuring records, meeting minutes, and all documentation is maintained to the highest standard. This role is the heart of all operations. 

Your day-to-day will involve a vigilant oversight of governance processes, crafting and organising documents that are comprehensive and crystal-clear. You’ll have a direct impact on the integrity of all operations, managing information that is pivotal to strategic direction and operational decisions.

Key Responsibilities:
  • Accurately organise, attend, and minute approximately 30 board and committee meetings annually, including necessary workshops
  • Deliver strategic advice and administrative support to the Board, enhancing their decision-making processes
  • Work closely with the Governance Lead, facilitating seamless communication and information flow to the Board of Directors
  • Develop and manage forward agendas, schedules of actions, and meeting documentation to maintain a robust governance structure
  • Address issues proactively, maintaining stakeholder relationships and resolving concerns promptly
  • Implement and refine office management systems to support the Board’s activities
  • Forge strong, respectful relationships with both internal and external stakeholders
  • Ensure timely responses to communications, maintaining confidentiality and adhering to the company’s style guidelines
About you:
  • Previous New Zealand Board Secretarial experience or Executive Assistant with board experience (a must!)
  • Proven experience in governance roles, with an emphasis on compliance and meeting management
  • Excellent communication skills to effectively interact with a diverse range of stakeholders
  • Detail orientated, discrete, organised and proactive problem solver
  • Ability to give strategic advice that contributes to the board’s decision-making process
  • You possess the ability to navigate the complexities of legal compliance
