About the role
We are seeking a dedicated and highly organised medical secretary for our Gynaecology Oncology team at Christchurch Women - s Hospital. The key purpose of this role is to create accurate and timely letters from audio recordings and support the clinicians to provide the best possible care for our patients.
As part of the Administration and Clerical Pay Equity Claim settlement this role has been mapped to National Band 4/Profile 4

Key Responsibilities:
1. Customer Service
- Deliver exceptional customer service to patients, clinicians, and others accessing our services.
- Always maintain confidentiality and privacy.
2. Transcription of Patient Letters
- Use audio recordings to create letters for patients and clinicians.
- Ensuring that any enclosures are added to letters
- Ensuring any follow up actions are completed
3. Patient Management Systems & Processes
- Ensure accurate and timely data entry and booking.
- Follow MoH and Waitaha Canterbury Elective Services guidelines (Orange Book V3).
- Communicate booking details clearly with patients.
4. Communication
- Exhibit professional and proactive communication.
- Maintain a collaborative and supportive environment for the clinical team.
About you
Essential:
- Experience as an audio transcriptionist
- High level of accuracy, attention to detail, and time management.
- Strong customer service and communication skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Ability to work both independently and collaboratively as part of a team.
Desirable:
- Experience in a healthcare administration role.
- Knowledge of medical terminology and familiarity with public hospital systems.
- Sensitivity to diverse cultural backgrounds.
