The Water Services Authority - Taumata Arowai is the water services regulator for Aotearoa New Zealand. It is a Crown entity governed by a Minister-appointed Board and advised on Māori interests and knowledge by Te Puna, a statutory Māori Advisory Group. Our responsibilities are to protect and promote drinking water safety and related public health outcomes - we regulate drinking water suppliers on behalf of the public. We also have an oversight role in relation to the environmental performance of drinking water, wastewater and stormwater networks.

Mō tēnei tūranga mahi | About this role

We're seeking a highly motivated, organised and experienced Executive Assistant. This is a key role where you'll use your excellent organisational skills and good judgement to keep things running smoothly. You'll primarily be supporting our Head of Operations through proactive, high-quality and comprehensive executive support. Occasionally, you'll also support our wider senior leadership team and the CE.

You'll be joining a collaborative, supportive and highly skilled team in a waterfront location; close to the train station and city amenities!

Key accountabilities include:

  • be the first point of contact for all enquiries to your executive/s
  • monitor mailboxes – you'll triage requests for meetings, escalate important emails and respond directly where appropriate.
  • diary management for your executive/s – ensure they can manage their commitments through a well-planned and prioritised schedule
  • ensure your executive/s are prepared for their commitments for the next day/week ahead by providing day and or night packs with reading materials for meetings
  • arranging and coordinating meetings - including arranging travel, accommodation and refreshments as needed
  • coordinating briefing notes and material for project and board updates; and, taking meeting minutes when needed

We are looking for someone who:

  • has an administration or secretarial qualification
  • excellent relationship and communication skills
  • has provided support to multiple managers or executive support to a senior leader
  • is organised and can confidently manage demanding and conflicting deadlines
  • is proficient in Microsoft Office suite and cloud-based environments
  • is a self-starter, with the ability to work independently
  • enjoys working in a tight-knit, supportive and collaborative administrative team
