About the Role
Due to internal secondment we are seeking a personal assistant to join our team full-time, on a fixed term contract until Jan 2026, to join our Clinical and Operational Support Services team based at Waikato Hospital.
Key responsibilities:
- As a personal assistant, you will provide high quality confidential administrative support to the Operations Director, Medical Director and the team in a fast paced healthcare hospital environment.
- You will work closely with managers and service leaders to provide comprehensive assistance to ensure smooth day-to-day operations. Your exceptional organisational skills, attention to detail, can do attitude and ability to handle confidential information will be vital to success in this role.
- Your responsibilities will include managing calendars, minute taking, preparing documents/presentations, coordinating approval processes, tracking and monitoring information flows and information management.
- You will gain first-hand exposure to the healthcare industry, work alongside passionate professionals, and contribute to improving patient care. About the Team/Service
The Clinical and Operational Support Directorate supports healthcare professionals throughout HealthNZ -Waikato District region in the delivery of patient centred care, through a wide range of services including Clinical Support services namely Pharmacy and Laboratory services to administration and clerical function, nutrition and food, attendants, parking, Fleet, Meade Clinical Centre outpatient nursing, sustainability, biomedical engineering & community equipment and facilities management. This directorate also encompasses management of volunteers, chaplains and outsourced non-clinical services such as security, linen & laundry, cleaning and retail outlets.
About you
Required skills & experience you will need to be considered for this role:
- Experience in implementing Te Tiriti o Waitangi in action
- A relevant tertiary qualification
- Minimum of 5 years administration experience
- Experience providing administration support to senior management
- Excellent organizational and time management skills.
- Strong verbal and written communication abilities.
- Proficiency in office software applications (MS Office, Google Suite, etc.).
- Ability to multitask and prioritize tasks in a fast-paced environment.
- Discretion, trustworthiness, and a high level of professionalism.
- Proven ability of working at pace and without supervision
- Can analyse information and make logical connections
- Experience in the health sector (preferred)
- Experience in a large and complex organisation (preferred)
