If you are a self-starter and keen to join a high-performing team then this is the opportunity for you. We are looking for a full-time Project Coordinator / Senior Project Coordinator to join our Project Controls team based in our Nelson office.
In this office-based role, you will be part of a Project Team that ensures the smooth running of the project by providing high-quality end-to-end project support services. This role is packed full of variety and responsible for support duties to deliver projects on time and within budget.

- Initiate and finalise project documentation, including contracts, variations to contracts, and letters of engagement
- Set up of projects using T+T systems with detailed project information, ensuring risk assessments have been appropriately and accurately recorded
- Chair and minute project meetings
- Collaborate with the Business Support Coordinator to support office-based tasks for the Nelson location, on an ad-hoc basis, as required
- Initiate, review and finalise Project plans on all designated Projects in consultation with the Nelson Project Team
- Manage the project programme alongside the project team and updates any changes in key deliverables to all stakeholders
- Monitor, control and consult with the project team regularly regarding Project Plans and update in T+T systems
- Coordinate and participate in the project debrief and assist with continuous improvement processes
- Assist with financial acumen, understanding of accounting principles, and compliance with accepted accounting practices
- Ability to provide guidance regarding project profit or loss (variance), tracking and controlling budgets, revenue recognition, variation requirements and the analysis of financial reports
- Monitor and assist with the update of project and financial information e.g. Budget, Start/End Dates, Closure and Note descriptors
- Prepare prebilling documentation for invoices processing, transfers, reallocations, and credit notes
- Coordinate Accounts Payable and Accounts Receivable processes for Project Teams
- Arrange appropriate filing of project documents and information using agreed company processes

- Competent with the administration of project financial processes i.e. project forecasting, invoicing, debt collection, budgeting
- Understanding of accounting principles, and financial terms
- Analytical problem-solving skills and scheduling skills
- High level of computer skills including intermediate to advanced user of Microsoft Office applications (Excel, Word, Visio, PowerPoint, Outlook).
- Confidence to work in an environment that deals with a broad range of people from managers to staff
- Is an outgoing team player, enthusiastic about their role in the project team
- Enjoys a fast-paced and busy work environment, comfortable working autonomously
- Able to be flexible to work outside normal working hours if required
