Te Whiwhinga mahi | The opportunity
We have an opportunity for a Project Coordinator to cover parental leave through to March 2026. The role will either be a secondment or fixed term opportunity for the successful applicant.
The Project Coordinator will support the Corporate Portfolio Office Programme and Project Managers to successfully deliver to time, cost and quality parameters. The Project Coordinator is an integral member of the Corporate Portfolio Delivery team, displaying strong team skills and contributing to the team's success and NZTA | Waka Kotahi's goals.
This role will support a range of projects with varying levels of complexity and may occasionally lead the delivery of small or discreet initiatives or workstreams within their assigned projects if required. You'll support project delivery across the Transport Agency by collaborating across boundaries with effective leadership and project management skills, to achieve the completion of projects on-time within budget and within scope with support of the wider delivery team.
Some of the responsibilities will include:
- Coordinate and act on the preparation and maintenance of project plans and schedules, and other required documentation
- Develop an in-depth understanding of project scope and particulars
- Work effectively with project and programme managers to support the successful delivery of work (scope, quality, time and budget)
- Work closely with the various business stream leaders to monitor, track and report project controls, risks and issues, budgets and variances throughout the project life-cycle
- Ensure projects adhere to frameworks and all documentation is maintained appropriately for each project
- Provide administration and coordination of project and governance activities and meetings
- Document meetings, circulate minutes in a timely manner and follow up on important actions and decisions from meetings
- Coordinate project changes, process change request requirements and maintain registers
- Coordinate communication activities with operational staff and managers involved with implementing new work practices, including maintenance of feedback logs

To be successful in this role, you will bring:
- Proven experience working as a project coordinator or project administrator
- Proven experience in effectively engaging and influencing internal and external stakeholders
- An understanding of project management methodologies and frameworks using both waterfall and agile methodologies
- An understanding of risk management and assurance controls and associated project and programme reporting and quality standards and project lifecycle processes
- Helping establish and facilitating effective Governance committees to ensure well-formed decisions are made in a timely fashion
- Reviewing key documentation and working with teams to deliver quality outputs
- Proficient in Microsoft Office packages including Outlook, Word, Excel, Project and Visio, Jira and Confluence tools
- Experience with project management information systems (preferably with Planview) desirable
