The Crown Response Office was established in September 2024 to coordinate and facilitate cross-government decision making and implement the Crown's response to the Abuse in Care Royal Commission of Inquiry. The Office sits within the Public Service Commission. The creation of the Office within a central Government agency was a key recommendation in the Royal Commission's final report, Whanaketia – through pain and trauma, from darkness to light.
The Crown Response Office plays an important strategic, advisory and coordination role to ensure the Crown is joined up and focused on the right priorities.
We currently have a fixed term or secondment opportunity for a Senior Executive Assistant to provide high level proactive, quality and comprehensive executive assistance support to the Chief Executive, Crown Response Office.
This role will provide hands on administrative support to the Chief Executive, in a fast-paced environment through email/diary management, meeting organisation, minute taking, workflow coordination, travel coordination and other administrative tasks.
Key accountabilities include:
- Ensure that high level administrative services are provided to the Chief Executive.
- Maintain the diary of the Chief Executive and make necessary appointments and travel arrangements as required.
- Manage incoming and outgoing correspondence and use initiative, when necessary, by re-directing correspondence to others.
- Identify issues and communicate these to the Chief Executive ensuring they are kept informed of important and relevant developments.
- Pre-empt the needs of the Chief Executive to ensure they are provided with the information and resources they need to prioritise, prepare and undertake their work activities in an informed way.
- Act as a first point of contact for all Crown Response Office team member enquiries, demonstrating sound judgement skills and liaising with stakeholders on an on-going basis.
- Arrange and co-ordinate strategic meetings (and other forums) including agenda development, minute taking, report preparation and coordination, preparing presentations and arranging facilities, social events, accommodation and catering for each function.
- Provide financial/budgeting administrative support.
You will bring:
- Proven proficiency in the application and use of Microsoft products including Outlook, Word, PowerPoint, Excel, Teams and Sharepoint.
- Excellent verbal, written and interpersonal communication skills.
- A team player with the ability to develop and maintain positive and effective working relationships with others.
- Demonstrated experience successfully supporting a Senior Executive.
- Experience of maintaining finances.
- Analytical and problem-solving skills with the ability to understand and communicate complex and sometimes ambiguous themes / ideas to a variety of audiences and build and maintain rapport with others.
- Ability to prioritise, schedule, work to meet deadlines and maintain the quality of services delivered.
- Excellent self-management skills, including working effectively without direct supervision, managing and organising fluctuating workloads in sometimes stressful situations.
