Permanent, Full Time

As Senior Governance Advisor/ Kaitohutohu Matua Mana Urungi, you will provide specialist and high-quality governance services to NZQA's Board and Strategic Leadership Team (SLT). You will ensure that Board and SLT processes run smoothly and effectively, playing an instrumental role in supporting NZQA to achieve its objectives.

This is a fast-paced environment, suited to someone with exceptional organisational skills who is able to work under pressure and to strict timelines.  An eye for detail and ability to synthesise the most important points from complex discussions are important. You will use your strong interpersonal skills to clearly convey information and expectations to paper owners and authors, ensuring that the Board, its Committees and SLT receive the information they need to provide effective governance and oversight of the organisation.

Responsibilities

  • Liaise with the Board Chair, Committee Chairs, Chief Executive, and key staff to proactively manage meeting schedules, forward workplan and agendas for SLT, Board and Committee meetings.
  • Support the interface between the Board and SLT, ensuring that Board expectations and requests are clearly communicated, and supporting SLT members in their commissioning and preparation of material for the Board.
  • Quality assure papers, provide feedback and guidance to paper owners and authors, and distribute meeting packs according to the meeting schedule.
  • Attend scheduled meetings, accurately record key discussion points, decisions and actions, and circulate minutes within agreed timeframes.
  • Provide effective follow-up support for actions and matters arising.
  • Maintain, review and improve Board systems, processes and templates consistent with good governance practice in a Crown entity context.

Skills and experience

  • Demonstrated experience providing secretariat services and/or governance advice.  
  • Previous experience reviewing papers for clarity and alignment with organisational direction.
  • Proven administrative abilities, with exceptional organisation, time and priority management skills.
  • Excellent listening skills, with the ability to synthesise information from complex discussions and produce high quality, accurate and timely minutes of meetings.
  • Strong interpersonal skills, capable of supporting and collaborating effectively with all stakeholders, ranging from Board members to administrative staff. 
  • Experience managing sensitive information appropriately and maintaining the highest level of confidence.
  • Strong computer literacy skills particularly in the Microsoft Office suite and SharePoint.
